Job Description
The Petroleum Authority of Uganda (PAU) is a statutory body mandated to monitor and regulate the exploration, development, production, refining, gas conversion, transportation, and storage of petroleum in Uganda.
PAU invites applications from qualified Ugandans for the position of Administrative Secretary (Ref: PAU/HRA/093/800).
The purpose of this role is to provide administrative and secretarial support to the Head of Directorates and the Directorate to ensure the efficient and effective running of the office, thereby supporting PAU in achieving its regulatory mandate.

Requirements
- An Honors Bachelor's degree in Administrative and Secretarial Studies, Office Management, or any other related field
- A minimum of three (3) years relevant working experience in a similar environment
- Analytical skills with a high level of integrity
- Excellent communication and report writing skills
- Interpersonal and stakeholder management skills
- Customer care skills
Responsibilities
- Provide secretarial support to the Office of the Director, including taking minutes of meetings and ensuring correspondence of good quality is produced in a timely manner for the Director's approval
- Coordinate and maintain the diary of meetings, including organising appointments, meetings and official events
- Participate in taking minutes during ExCo, Management, Directorate, General Staff or any other meetings organised by the Authority
- Organise facilities for meetings, workshops or official events, including booking venues and providing logistics such as equipment, stationery and refreshments
- Track and update the status of implementation of actions assigned to the Director
- Act as the first point of contact for records and documents in the respective offices and ensure requested documents are provided in a timely manner
- Act as the first point of contact for the Directorate's visitors and ensure provision of exemplary service
- Attend to callers in person or on telephone and ensure incoming and outgoing emails are adequately managed
- Ensure all correspondences in the Office of the Director are appropriately filed
- Develop and manage databases for the Director's engagements, reports, minutes, correspondences, and clientele contacts
- Requisition for and manage Directorate office stationery and equipment
- Ensure cleanliness and orderliness of the office of the Director
- Support in organising the activities of the Office through compiling and reviewing Monthly and Quarterly Reports
- Undertake any other assignments as may be directed from time to time
